Registration procedure

All OECS’19 participants are required to accept the Code of Conduct, Terms of Participation, Terms of Payments, and our Privacy Policy.

How to register:

1. Fill out the registration form. You can access it by clicking here. The same form is available here in Polish language (you might need the Polish form because some organisations from Poland require invoice in Polish).
2. You can choose if you want to pay directly by credit card  (PayNow) or bank transfer.
3. If you select PayNow payment, after completing the form you will be directly forwarded to a PayNowPal webpage to process the payment.
4. If you select a bank transfer, please send the bank transfer up to 14 calendar days after completing the form. Otherwise your registration will be cancelled. If you need more time, we encourage you to contact us by email at oecs2025@candela.org.pl. Please specify the pro forma number that we generated in the registration system in the title of the bank transfer (you will receive it by email after completing the last steps of the registration).
5. You will also need to specify whether the invoice should be issued to an organization (e.g., a university) or an individual (e.g., James Maxwell). Please note that it is not possible to change the invoicing data after receiving the payment.
6. If you select bank transfer, please note that all bank and transfer fee must be covered by the sender.
7. After completing the form you will receive a confirmation of submitting the form and confirmation of processing the payment. If you don’t receive it (please check your SPAM folder first), please contact us with details of the process.
8. Once we receive the payment, you will be notified about it in 2 working days.
9. Up to 7 working days after receiving the payment, the Candela Foundation will send you an invoice. The invoice will be delivered by email using the address submitted in the registration form.
10. Kindly note that we require payment of the conference fee before the event. In case of missing payment, you will be asked to settle it during registration by card payment.

Conference Fee

Early registration is now open:

• 3100 PLN (including tax) for full conference
• 1000 PLN (including tax) for one day

Regular registration starts on May 29, 2025:

• 3900 PLN (including tax) for full conference
• 1200 PLN (including tax) for one day

Late registration starts on June 30, 2025 – since then only card payments are possible:

• 4200 PLN (including tax) for full conference
• 1350 PLN (including tax) for one day

*You can add a print of your poster to your registration fee which costs 65 PLN.

To provide extensive networking opportunities, the organisers have decided that the conference fee will cover:

     ‣ participation in the conference,

     ‣ lunches,

     ‣ coffee breaks,

     ‣ welcome reception,

     ‣ conference dinner,

     ‣ one group activity,

     ‣ conference welcome package.

Payment Methods

The conference fee can be paid via:

• Bank transfer

• Online payment (including Visa, Visa Electron, Mastercard, MasterCard Electronic, Maestro) via the PayNow.

The payment must be completed within 14 days from the date of registration. Failure to pay within this timeframe will result in automatic cancellation of the registration and booking.

The conference fee is declared in PLN (gross amount, including VAT). We accept bank transfers in EUR and USD. To convert your registration fee, please fill out the registration form by choosing “bank transfer” as payment method, complete the payment and contact us afterward (oecs2025@candela.org.pl). Based on the information from the registration, we will issue a proforma invoice in EUR/USD based on the recent exchange rate (published by National Bank of Poland).

Bank Wire Transfer and other related fees should be paid by the registrant (please verify carefully during the wire transfer payment that all costs are charged to you).

Kindly note that the bank account details specified below are only for payments in PLN. Please contact us in case you would like to pay in EUR or USD.

Cancellation and refund

• A full  refund is possible until May 15, 2025.

• 50% refund is possible until June 15, 2025.

After this date, the refund is not possible.

To request a refund, please follow the resignation procedure outlined in the Terms of Payment and send the form via email to oecs2025@candela.org.pl or events@candela.org.pl.
