Guidelines for oral presenters

  • Please upload a copy of your presentation to the local computer in advance (deadline is the break before your session) and check if it runs properly. In case you need a pendrive – you may borrow one from the technical support team present in the conference room.
  • To secure a smooth implementation of the conference’s agenda, you will not be able to use your own computer. We are sorry for the inconvenience and grateful for your understanding.
  • Please use the on-ear microphone that will be available in the conference room. Handheld microphones will be used by the chairs and technical support only.
  • The conference computer will be equipped with the following software: Microsoft Powerpoint, Adobe Reader DC, Apple Keynote. However, we strongly encourage everybody to use the safest format – PDF.
  • The recommended aspect ratio of slides is 16:9. If you plan to present any audio as part of your presentation, please let us know in advance.
  • Technical staff will be present in the lecture room. That person will be able to provide support and answer your questions.

The length of oral presentations will be confirmed after the publication of the conference program.

Guidelines for poster presentation

The recommended poster size is A0 (vertical orientation). We will provide tools for mounting the posters. In order to enhance the impact of your poster presentations and to encourage discussions, we recommend participants to set up their posters as soon as possible and keep them on display until the end of the poster session.

Special discount for poster printing

OECS participants can use the special discount code “Candela” at the printing company FourZeros located across the street from the conference venue (approx. 200 m, Google Maps link). To access the discount, please contact FourZeros at least few days before the start of OECS by email at o.liszczun@fourzeros.online.

If you selected the poster printing option during registration and have sent us the PDF file of your poster (before 3PM on 10 July), it will be waiting for you at the conference venue.

 

Regulation of the competition for the best poster presented by students

OPEN ENGLISH VERSION OPEN POLISH VERSION

 

The present Regulations define rules and procedures for granting award for the best student poster presented during the XIX International Conference on Optics of Excitons in Confined Systems (OECS’19) conference which will be held on July 14-18, 2025 in Warsaw.

§ 1 Definitions

The terms used in the present Regulations are defined below unless a different meaning is readily apparent based on the content of the Regulations:
1. Author – the person who authored or co-authored the poster and who presents it during the Event,
2. Foundation E-mail address – the e-mail address: events@candela.org.pl
3. Committee – the group, established by the Chair of the Committee that participates in the evaluation and analysis of posters. The list of Committee members will be published on the Event Website after the Event.
4. Competition – the competition held by the Candela Foundation governed by rules set forth in the present Regulations,
5. Foundation or Candela Foundation – the Candela Foundation with its seat in Warsaw (03-822), ul. Grochowska 357/513, listed in the National Register of Associations, Other Social and Professional Organizations, Foundations and Public Health Care Units, under
KRS number: 0000885495 and the Tax Identification Number: 1133028363 and the National Official Register of Business Entities (REGON): 388293056.
6. Prize – the monetary prize awarded for winning the Competition, paid via wire transfer to the bank account provided by the Laureate,
7. Regulations – the present Regulations,
8. Event Website – the Event website available at oecs19.pl,
9. Participant – a natural person taking part in the Competition who meets the requirements stipulated in § 2.
10. Event – the XIX International Conference on Optics of Excitons in Confined Systems (OECS’19) conference, which will take place on July 14-18, 2025, at Conference Centre of the Copernicus Science Centre, located at Wybrzeże Kościuszkowskie 20 in Warsaw (00-390).
11. Laureate – the person who, based on the minutes protocoling the Committee’s work, receives the Prize on the basis of the Regulations.

§ 2 The Competition

1. The Competition is organized by the Candela Foundation.
2. The Competition will take place during the Event.
3. Participants may be adults who are:
1. of legal age, and
2. registered to actively take part in the Event, and
3. Authors, and
4. have the student status.
4. To take part in the competition, Participants must accept the terms of the Competition Regulations and send in their submissions no later than July 14, 2025.
5. Participating in the Competition is free of charge.

§ 3 The Committee

1. Michał Matuszewski is the Chair of the Committee.
2. The Chair of the Committee is responsible for:
1. Appointing other members of the Committee,
2. Organizing the Committee’s work.
3. The full list of Committee members is available on the Event Website.
4. The Committee evaluates the posters presented during the poster segment of the Event.
5. The Committee’s decisions are final and not subject to any appeal procedure.
6. The Committee evaluates the posters according to the following criteria:
1. Originality of the work;
2. Methods of problem presentation and solution;
3. Visual aspects and clarity of the poster.

§ 4 Prizes

1. As part of the Competition, one monetary prize shall be awarded in the amount of 800 (say: eight hundred) PLN gross.
2. The Prize will be awarded based on the minutes protocoling the Committee’s work, which will recommend awarding the Prizes to specific Participant. The Chair of the Committee and the Foundation Board Member approve the protocol by signing it.
3. Laureate will be informed of the conditions for collecting their Prize no later than on July 25, 2025.
4. The Prize will be paid in PLN by wire transfer until August 31, 2025 after a completed tax statement is sent to the Organizer’s E-mail address.
5. The Prize will be reduced by:
1. the amount of an advance personal income tax, as well as by the social security contribution, should their collection be required by regulations in effect on the date of the payment of the Prize, and
2. wire transfer fees.

§ 5 Liability

The Foundation shall not be liable for the content presented on the posters. The sole
responsibility rests with the person submitting the poster.

§ 6 Final Provisions

1. The Foundation reserves the right to:
1. Cancel the Competition,
2. Introduce changes to the Regulations,
3. Exclude from the Competition any person who violates any terms of these
Regulations or the Event Regulations, and, in particular:
A. Perform actions that are against the law, principles of good conduct or harmful to the justified interests of third parties,
B. Perform actions intent on or indicating an attempt to circumvent the Event Regulations or the terms for the organization of the Event,
C. Perform actions that violate the established interests of the Foundation or which are harmful to its image.
2. In the event of disputes with a Participant, the court having jurisdiction for their resolution will be the court having jurisdiction over the Foundation’s seat.
3. When the court having jurisdiction affirms the invalidity of some of the Regulations’ provisions, the remaining provisions shall not be affected and will, in such a case, remain in force.
4. The Foundation President is responsible for making decisions in matters not governed by the Competition Regulations and interpreting the provisions of the Regulations.
5. In regard to matters not governed by these Regulations, the relevant provisions of the Polish law shall apply.
